7-Stage Workflow

A Transparent Process Built Around Your Project

We've structured our customization workflow to give buyers clear milestones, predictable timelines, and consistent communication at each stage -- from your first inquiry to final shipment.

1

Stage 01

Requirement Submission

Tell us what you need. Submit your project brief, product drawings, reference samples, or a written specification. There's no fixed format -- we adapt to how you work. Share dimensions, application environment, target markets, certifications, or simply describe the problem you're trying to solve.

What to include:

  • Application type and installation environment
  • Size, wattage, CCT, CRI, IP rating targets
  • Target certifications and destination market
  • Estimated quantity and delivery timeline
2

Stage 02

Technical Evaluation

Our engineering team reviews your requirements against our manufacturing capabilities. We identify whether standard products, light customization, or deep custom development is the right fit. We also flag any compliance considerations early, so certification timelines don't become a late-stage surprise.

Compliance Review
Material Sourcing Check
Lead Time Estimation
3

Stage 03

Solution Confirmation

We present a proposed solution: product specification sheet, design drawings or 3D renders where applicable, material and component details, unit price quotation, and sampling lead time. You review, ask questions, and we refine until both sides are aligned before any production commitment is made.

Formal Quotation Provided
Mutual Sign-off Before Sampling

Stage 04

Sample Production

Once the solution is approved, we produce physical samples according to the confirmed specifications. Samples are tested internally -- including photometric measurements, thermal checks, and functional testing -- before shipment. You receive samples along with the relevant test data for your own evaluation and testing.

Stage 05

Revision & Approval

After you evaluate the sample, you provide feedback. If modifications are needed -- whether structural, optical, thermal, or connector-related -- we document each change request clearly, revise the sample accordingly, and produce a second round for re-evaluation. This cycle continues until you sign off on the final sample as the production standard.

Why this stage matters

Every design change documented here becomes the baseline for mass production. Clear approval at this stage prevents costly tooling changes or quality deviations later.

6

Stage 06

Mass Production

Production begins only after formal order confirmation and agreed deposit. We apply rigorous in-line quality controls: incoming material inspection, in-process parameter monitoring, photometric and aging tests on a sample basis, and pre-shipment functional inspection. Your production quality mirrors the approved sample -- consistently.

A

Incoming Material Verification

All key components checked against approved standards before production starts

B

In-Process Monitoring

Parameter checks at each assembly stage, including soldering, wiring, and optical assembly

C

Pre-Shipment Functional Testing

100% power-on test plus batch photometric and aging line verification

7

Stage 07

Delivery & Post-Shipment Support

Goods are packaged to protect against transit damage and shipped via your preferred freight method -- air, sea, or express courier. We provide full shipping documentation, packing lists, and compliance documents. After delivery, our team remains available for installation queries, field issues, or repeat order adjustments.

What you receive at delivery

  • · Full shipment and customs documentation
  • · QC reports and test certificates
  • · Installation instructions and wiring diagrams
  • · Ongoing reorder support with your approved spec locked in

Flexible Approach

Three Levels of Customization

Not every project requires full custom development. We match the right level of customization to your timeline, budget, and technical complexity.

Level 1

Standard Selection

Choose from existing product lines. Fastest path to delivery. Suitable when VST standard specifications match your project requirements directly.

  • Shortest lead time
  • Lowest MOQ
  • Established quality baseline
Most Common
Level 2

Light Customization

Modify existing models for faster development with lower complexity. Adjust CCT, wattage, connector type, housing color, labeling, or packaging based on a proven platform.

  • Balanced lead time and fit
  • Lower development risk
  • Adaptable to most project specs
Level 3

Deep Customization

Full OEM development from drawings or concepts. New form factors, custom housings, integrated modules, and application-specific engineering. Ideal for product companies and LED manufacturers.

  • Full design flexibility
  • Engineering collaboration
  • From concept to mass production

Common Questions

Answers to What Buyers Usually Ask Before Starting

Customization can feel risky if you've had bad experiences elsewhere. Here are the questions we hear most often -- and honest answers from our team.

Ask Your Question Directly
How do I know if my requirements are feasible before paying anything?
Technical evaluation (Stage 02) is done before any commitment. We review your requirement, assess feasibility, and give you a clear picture of what's achievable, what might need adjustment, and an estimated cost range -- before you place any order or pay for samples.
What if the first sample doesn't match what I expected?
Revision cycles (Stage 05) are a normal and expected part of the process. We document every change clearly and produce revised samples until the product fully meets your specification. Mass production only begins after your formal sign-off on the approved sample.
How do I know mass production quality matches the approved sample?
The approved sample serves as the locked production standard. We apply three-stage QC: incoming material verification, in-process monitoring, and pre-shipment functional testing. QC reports are provided with your shipment documents. We also support third-party inspection arrangements if required.
What certifications can you support for export markets?
We support CE (Europe), UL/ETL (North America), SAA (Australia), RoHS, and REACH compliance. Certification needs are identified during technical evaluation so they can be factored into design, testing, and timeline from the outset -- not treated as an afterthought.
What is the minimum order quantity for custom products?
MOQ varies depending on product type and customization depth. Standard and lightly customized products typically have lower MOQs. Deep custom development may require higher volumes to justify tooling costs. MOQ is always discussed and agreed at solution confirmation stage -- there are no surprises at order time.
How long does the full process take from enquiry to delivery?
Light customization typically runs 4-8 weeks from enquiry to shipment. Deep custom development with new tooling can range from 8-16 weeks depending on complexity and revision cycles. We provide a detailed timeline estimate during Stage 03 (Solution Confirmation) so you can plan your project schedule accurately.

Why Choose VST

What Makes Our Customization Process Different

Built over 13 years of serving buyers in Europe, North America, the Middle East, Australia, and beyond.

Direct Engineering Access

You speak directly with technical engineers -- not a sales intermediary -- which reduces revision cycles and miscommunication.

Fast Sample Turnaround

Streamlined internal processes keep sample lead times at 7-14 days for most customization levels, reducing your total project timeline.

Production Consistency

The approved sample is the locked production standard. Three-stage QC ensures every batch matches the performance you approved.

Global Compliance Ready

CE, UL/ETL, RoHS, REACH, SAA -- compliance is built into the design and evaluation stage, not added last-minute.
